Multi-Device Check-In Teams

Run multiple tablets across check-in points and keep data consistent even when networks are unreliable.

Trampoline parks, karting tracks and multi-activity sites often run a main desk, a second desk for groups and a tablet at the activity entrance. Staff move between stations, and the connection is rarely equally good at all of them.

The problem with several check-in points

With several devices, the risk is not just a lost connection. It is records scattered across tablets, staff unsure which form to use at which station, and nobody certain whether everything collected today has actually reached the office before the devices go back in the drawer.

How FieldWaiver handles it

  1. Organise the work. Group the forms for an event or site into a collection, add scheduled dates and assign the staff who will be working it. Staff then find the right forms in one place.
  2. Prepare each device. Each staff member signs in on their own device while online, so the forms they need are stored on that device.
  3. Collect independently. Every device keeps working on its own. If one loses signal, it saves responses locally and the others carry on as normal.
  4. Sync in the background. Each device sends its records to the server whenever it is online, retrying automatically. The server is where records from every device come together.
  5. Check before packing away. Each device shows how many submissions are waiting to upload, and the settings page also lists photos still waiting or that could not be uploaded.

Setup checklist

  • ✓Create a collection for the event or site and assign every staff member who will collect.
  • ✓Label each device with its station and the staff account signed in on it.
  • ✓Sign in and open the forms on every device while online, then run a test submission on each.
  • ✓Avoid editing forms during the session so every station is working from the same version.
  • ✓At close, reconnect every device and confirm its waiting-to-upload count is clear.

The offline event checklist covers device preparation in more detail.

Questions

Will a response taken on one tablet show up on another straight away?

Only after the first tablet has synchronised. A response waiting on an offline device has not reached the server yet, so it cannot appear anywhere else. Keep each device until its pending count is clear.

What if the same person is checked in at two stations?

If your form has an email field, the submissions list flags completed submissions on the same form that share an email address, once both have synced. Nothing is blocked or deleted automatically, so staff can review the flagged records themselves.

Can we mix staff devices and a self-service kiosk?

Yes. Staff devices can keep collecting offline. A kiosk tablet uses a public link, resets after each submission and needs a connection to submit, so place it where the signal is reliable.
