Basement Gyms & Poor Connectivity

Keep new member intake running even in basement facilities with weak cellular and unstable WiFi.

Gyms, boxing clubs, climbing walls and studios below street level often have one overworked WiFi access point and little or no mobile signal at the front desk. New members arrive, the sign-up page spins, and the queue grows while staff wait for a form to load.

The problem with intake below ground

Online-only forms fail at the worst moment: the evening rush, when the router is busiest. The usual fallback is paper, which means retyping details later and filing signed sheets somewhere safe. Mixing the two leaves records in two places and makes it harder to check that everyone training today has completed the form.

How FieldWaiver handles it

  1. Staff sign in on the desk tablet and open the intake form while a connection is available, for example at the start of the shift. The form is then stored on the device.
  2. New members complete the form and sign on screen. If the signal drops, the response, including signatures and photos, is saved on the tablet rather than lost.
  3. The app's sidebar shows how many submissions are waiting to upload, so staff can see whether anything is still held on the device.
  4. When the connection returns, FieldWaiver synchronises in the background and keeps retrying while it is online. Nobody has to resubmit anything.
  5. Organiser notifications and participant receipts are sent by the server after the record arrives, so a receipt for an offline sign-up goes out once that device has synced.

Setup checklist

  • ✓Install FieldWaiver to the desk tablet's home screen so it opens like an app.
  • ✓Sign in and open the intake form while online, before members arrive.
  • ✓Switch the tablet to aeroplane mode, complete a test submission, reconnect and confirm it reaches the server.
  • ✓Make form changes where you have a reliable connection: the form builder and settings need to be online.
  • ✓Check the waiting-to-upload count is clear before closing up, and never clear browser data while anything is pending.
  • ✓Agree a fallback for a flat battery or a lost tablet.

Features involved

Offline-first collection and automatic sync keep the desk working, and the installable web app gives staff a home-screen icon. Build your intake with the form builder, use conditional logic so health follow-up questions only appear when relevant, and set up email notifications for staff and members.

Questions

Can members sign on a kiosk tablet in the basement?

Kiosk mode runs on a public form link, and submitting through a public link needs a working connection. If the submission fails, the page shows an error and the answers stay on screen so the member can try again. Where the signal is unreliable, use a signed-in staff device instead, which saves responses locally.

Will members get their email receipt straight away?

Only if the tablet is online. Receipts and organiser notifications are sent by the server, so a sign-up taken offline gets its receipt after the device has synchronised.

How long can the tablet stay offline?

FieldWaiver does not promise a fixed offline period. Responses stay on the device until they sync, so they are only as safe as the tablet and its browser storage. Let it sync whenever a connection is available rather than saving sign-ups up for later.
