Remote Outdoor Sites

Collect waivers at remote trailheads, docks, and outdoor sites with no reliable internet.

Kayak launches, coasteering meeting points, mountain bike trailheads, paintball woods and guided walks often start where mobile signal ends. The briefing happens in a car park or on a riverbank, and the waiver has to be signed there and then.

The problem at remote sites

Paper forms get wet, blow away and have to be typed up back at base. Online-only forms simply do not load without signal. Instructors end up chasing missing signatures or carrying a clipboard of sensitive personal details around all day.

How FieldWaiver handles it

  1. Prepare at base. Instructors sign in and open the forms on their phone or tablet while connected, so the forms are stored on the device before heading out.
  2. Collect on site. Participants complete the form and sign on screen. Conditional questions, such as a medical follow-up, still show and hide as answers are given, and repeat groups let a parent complete details for several children.
  3. Photos queue too. If the form asks for a photo or file, it is held on the device with the response until it can upload. A submission is not safely on the server until its photos have uploaded as well.
  4. Sync on the way back. When the device is back in range, queued responses and photos upload in the background. The sidebar shows how many submissions are still waiting.
  5. Records in one place. Once synced, records can be reviewed, emailed as receipts and exported from the office.

Setup checklist

  • ✓Sign in and open each form you will need while you still have a connection.
  • ✓Run an offline test with a photo field, then reconnect and confirm the photo uploaded.
  • ✓Carry a power bank and a waterproof case or pouch for the device.
  • ✓Ask participants to complete a public link before the day where possible, so on-site signing is only for walk-ups.
  • ✓Back in signal, check the waiting-to-upload count and the photo count in settings before putting the device away.

The offline event checklist covers preparation, testing and packing away.

Questions

How long can we stay out of signal?

FieldWaiver does not set or guarantee a fixed offline period. Responses stay on the device until they sync, so they are only as safe as the device and its browser storage. Sync at the end of each session or day where you can.

What if a photo never uploads?

The device lists photos still waiting or that could not be uploaded. Organisers can also see in the submissions list when a synced submission is missing a photo that never reached the server, so it can be followed up.

Can participants sign on their own phones at the site?

Only with a connection, because public links need one to load for the first time and to submit. Without signal, use a prepared staff device instead.
