High-Volume Events

Speed up check-in for large events with multiple devices collecting forms in parallel.

Fun runs, obstacle races, open days and corporate activity days often see most participants arrive in the same hour. The form itself is rarely the bottleneck. The problem is one queue, one device and one person checking names, often on a mobile network that slows down as the crowd grows.

The problem at busy check-in

Every participant who completes their form at the gate adds time to the queue. Groups and families arrive together and someone ends up filling in the same details several times. Afterwards, the organiser has to work out who signed, who signed twice and whether the numbers match the entry list.

How FieldWaiver handles it

  1. Move signing before the day. Send a public form link with your joining instructions so people complete it on their own phone at home. Links can have an expiry date and a maximum number of uses, and participants do not need an account.
  2. Run several check-in points. On the day, staff collect on their own signed-in devices at the same time. Each device works independently and saves responses locally if the signal drops, then syncs in the background.
  3. Add a self-service tablet where the connection is good. A kiosk-mode link resets the form to blank after each submission, ready for the next person.
  4. Handle groups in one go. Repeat groups let one person enter details for several participants in a single submission.
  5. Spot repeat sign-ups. If the form has an email field and someone on a public link enters an email that has already been used on that form, they are asked to confirm before submitting again. It never blocks them.
  6. Review afterwards. Export CSV, PDF or ZIP records, and on paid plans use analytics to see totals and daily submissions, with per-form and per-link breakdowns on Professional and Enterprise.

Setup checklist

  • ✓Check your plan's monthly submission allowance covers the whole event, plus test responses.
  • ✓Create a separate share link for each channel, such as the booking email and the venue poster, so you can tell them apart.
  • ✓Give each check-in staff member their own account and prepare their device while online.
  • ✓Run a test submission on every device and on the kiosk tablet.
  • ✓After the event, reconnect every device and confirm nothing is still waiting to upload.

Questions

How many submissions can we collect in a month?

It depends on your plan: 10 on Free, 100 on Starter, 500 on Professional and no monthly cap on Enterprise. Once the allowance is reached, new submissions are blocked until the next period or an upgrade, and that includes responses collected offline that have not yet uploaded.

How many staff can collect at once?

Each staff member should have their own account. Plans include 1 user on Free, 3 on Starter, 10 on Professional and unlimited users on Enterprise. Participants using a public link do not count as users.

Does the kiosk tablet work without a connection?

No. Kiosk mode uses a public link, and submitting it needs a connection. Put kiosk tablets where the signal is dependable and use signed-in staff devices anywhere it is not.
