A climbing tower at a summer fair, an inflatable course at a county show, a holiday club in a borrowed hall or a seasonal attraction that opens for a few months a year. These sites rarely have WiFi you can rely on, and mobile signal at a busy showground can be poor once the crowds arrive.

The problem with temporary sites

You arrive, set up and need to start signing people in within the hour. There is no time to troubleshoot a network, the staff may be seasonal and new to your process, and at the end of the season you need every record from every site in one place rather than in boxes of paper.

How FieldWaiver handles it

  1. Plan each date as a collection. Create a collection for each event or site, add its start and end dates, and assign the staff working it. The dashboard can show collections in a calendar view.
  2. Prepare devices at base. Staff sign in and open the forms while you still have a reliable connection, so the forms are stored on the device before you travel.
  3. Collect on the pitch. Participants complete the form and sign on screen. Without signal, each response is saved on the device it was taken on.
  4. Offer a link for pre-booked groups. Groups who book ahead can complete a public form link at home, which reduces the queue at the stall.
  5. Sync as you go. Whenever a device finds a connection, queued records upload in the background. Confirm nothing is waiting before you pack down.
  6. Close the season. Export CSV data, PDF records or a ZIP including uploaded photos and files for your records.

Setup checklist

  • ✓Sign in, open the forms and run an offline test submission before leaving base.
  • ✓Pack chargers and power banks: a flat device cannot collect or sync.

Questions

Can we reuse last season's form?

Yes. You can duplicate an existing form and update the wording or dates, as long as your plan's form allowance has room for the copy. Test the new version before the first event.

What happens to seasonal staff accounts afterwards?

Users can be removed from your organisation when the season ends. Make sure their devices have finished syncing first, because records still waiting on a device have not reached the server.

Do we need to download an app?

No app-store download is needed. FieldWaiver is a web app that can be installed to the home screen on supported browsers. Test the phones or tablets you plan to use before the event.
